Annual Financial Statements

The attached financial statements will be submitted to Consumer Affairs Victoria as part of our annual information statement.

The association held assets of $62,685 at 30 June 2018, on a cash basis.

Current balance

As of 8 October 2018, there is $59,750.01 in the Westpac account, $166.57 in our debit Credit Card account and $556.81 in the PayPal account.


WMAU received a total of $50,672.37 in revenue for the 2017-18 financial year.


$2,372.86 was paid to WMAU for the Strategy Tour, this grant was applied to by Tom Hogarth. WMAU received $33,725 Simple Annual Plan Grant for the 2018-19 financial year.

Membership dues

$452.69 in membership dues were received during 2017-18, over 55 transactions which was down on 2016-17, eleven of which were new members. Six memberships are currently overdue, with three new memberships currently on-hold until after the AGM, when the membership opens.


$13,751 in donations was received during 2017-18, which was up from what WMAU received during 2015-16 and 2016-17. $10,000 of that was received by an anonymous donor.

Bank interest

Interest for the 2016-17 financial year was $38.46, slightly down on 2016-17 financial year


WMAU spent a total of $20,988 in expenses for the 2017-18 financial year, up on 2016-17 financial year.

Ongoing expenses

G Suite/Google Apps

Cost from July-Sept and Dec 2017 was $65 per month, Oct 2017 and Jan 2018 $61.83, Nov 2017 $61.86, Feb-May 2018 $70 and the final payment in June 2018 for $20.32

WMAU recently applied for Connecting Up, which we were successful. With this, WMAU now has reduced this cost to $0 with G Suite for Non-profits.


Xero currently it costs WMAU $50 per month and has for sometime.


Our website hosting is currently provided by Linode at a cost of US$20 per month. The total cost for 2017-18 was AU$325.30

Wiki Loves Earth 2017

$674.23 was spent for prizes, printing and postage for the final 10 and offical winner.

Wiki Loves Monuments 2017

$527.80 was spent for prizes, printing and postage for the final 10 and offical winner.


$500 budget was set aside for WikiClubs to help assist in covering expenses.

WikiClub WA spent $17.36 of the set budget.


A total of $1,490.95 was spent for GLAM Peak in Broome, $1,275.55 was spent for GLAM Peak in Cairns. These two events were covered under the Simple APG, however $275.55 will be covered by the WMAU.

GLAM Peak Albury total cost was $228.15

Wikidata Tour (2018)

$4,093.58 was spent in 2017-18 and $2,086.31 in 2018-19. So far a total of $6,179.89 has been spent, with more expenses possible.

Wikimania 2017 Montreal

In total $2,962.50 was spent in reimbursements in 2017-18, bring the total spent to $5,282.60, which is $37.40 less than the $5,320 stated at the last AGM.

Wikimania 2018 Cape Town

One representative was sent at a total cost of $4,119.25 in the 2017-18 financial year and $207.97 in the 2018-19 financial year, bring the total cost to $4,327.22

Wikimedia Conference Berlin 2018

A total of $691.55 was spent. Including $162.26 for a box of TimTams and Caramello Koalas.

Camera Equipment Grant

One large Camera Equipment Grant of $1,000.

WMAU Representation

$1,074.22 was spent to fly two committee members to Brisbane to attend Craig Franklin's funeral as representatives for WMAU.



PayPal fees for 2017-18 financial year was $18.97, this is down due to the WMAU PayPal account being locked at the end of 2017 and the start of 2018.

Membership breakdown

For the current financial year (2018-19) as of 14 September 2018, there were a total of 42 members with eight new memberships, 40 yearly members and two five year memberships (both paid in the 2017-18 financial year). Currently there are three membership applications on hold due to the membership list closing on the 14 September 2018.

Gender gap still exists with 12 female members and 30 male members. This gap has remained stable, further recruitment needing to better target women to help reduce the gender gap that is not only faced within our membership and the greater Wikimedia Movement but to also reduce the gap that is faced on Committee, with only two out of seven committee members serving in the 2017-18 Committee.

Concluding remarks

Thanks to the donations, including the $10,000 donated by anonymous person and the successful application for a Simple APG has allowed the WMAU to undertake more of a proactive role within the Australian community. We need to grow and retain our membership to enable us as a movement in Australia to be able to undertake more activities and have new people on the Committee, with new ideas and to close the gap that has existed since WMAU formed over 10 years ago. Changes to the Wikimedia Conference (now Wikimedia Summit) is going to be something to watch to see how well the massive changes will impact on chapters and affiliates who are limited to just one representative and how regional conferences, such as ESEAP will go as the replacement, though Wikimania will be more important then ever for Australia to attend and for WMAU to have a representative.

My goal has been to reduce the operating costs were possible, moving to G Suite for Non-profits helps us to do that, even if it is only a small saving but we are able to reinvest it back into the community. While the Simple APG is welcome, it has now added some complexity to Xero due to its limitations, which are still being dealt with but should be sorted by the end of the year.

As what Pru has touched on, WMAU this year has sadly lost three former members, Craig was a former treasurer and was instrumental in moving our accounting (Xero) to be online, along with the ability to send out membership renewals automatically, instead of relying on memberdb and CivICRM for memberships and accounting books that are only in a single location!
