Donor Privacy Policy

Wikimedia Australia (The Chapter) maintains the highest level of respect for the privacy of its donors. In furtherance of our commitment to honour your rights, we have developed this Donor Privacy Policy to guide our volunteers and staff on how they may and may not use your personal information. This privacy policy co-exists with our general privacy policy, and the provisions of that policy also apply to donors. This policy may be updated from time to time.

Policy

What information we collect

The Chapter collects and uses various personal information from donors that includes: amount donated, address, telephone number, donor comments and e-mail address. Laws and regulations in some states and territories require us to keep contact information and contribution level of donors on file.

How we use that information

The Chapter will never publish, sell, trade, rent or share names (unless released for publication), e-mail or mail addresses, or telephone numbers of our donors. The Chapter will use contact information (e-mail, telephone number and address) of donors for these purposes only:

Distribute receipts for donations
Thank donors for their donation
Internal analysis and record keeping
Reporting to relevant state, territory, and commonwealth authorities where required to do so by law (these reports are not for public inspection)
Contact donors about changes to this policy

We allow donors to have their name publicly associated with their donation. Unless the donor explicitly requests this, the default is for staff and volunteers to assume all donor information is not to be publicly announced.

Wikimedia Australia may use properly anonymised donor information to compile data to be used for promotional and fundraising activities, such as statistics about the number of donations in a given period, the average donation, the general geographic region of donors, etc. Such statistics will not incorporate any personally identifying information.

Comments given in donor forms are published in public lists and may be used in promotional materials while comments sent to us via email, fax or telephone are kept strictly confidential.

Financial information

All access to donor financial information is strictly limited to those who are responsible for processing the data. This information is not given to any person, organization or group who does not need to access it.

The Chapter only uses online payment processing services with world class security and strong reputations. The Chapter does not store, nor does it have access to, your credit card information, bank account numbers, or other account data sent to those processing services.

Donations to Wikimedia Australia go to a specific donations account. This provides the highest possible level of security and confidentiality.

Donor access to personal information

If a donor makes a written request for access to their own information, Wikimedia Australia will allow the person to inspect their personal records. Such requests will be managed promptly. The donor will be required to prove their identity before being granted access.

Donor concerns and complaints

If a donor believes there has been a breach of privacy they should first contact the secretary (secretarywikimedia.org.au) for clarification of the circumstances of any access or use of their records. If the donor remains unsatisfied, a complaint may be submitted to the president by emailing presidentwikimedia.org.au. A written confirmation of receipt of the complaint will be provided in a prompt fashion. The president will make every effort to deal with any complaints expeditiously. The donor may be required to provide proof of identity before the complaint is investigated.

Donor Bill of Rights

The Chapter subscribes to the Donor Bill of Rights.

Philanthropy is based on voluntary action for the common good. It is a tradition of giving and sharing that is primary to the quality of life. To assure that philanthropy merits the respect and trust of the general public, and that donors and prospective donors can have full confidence in the not-for-profit organisations and causes they are asked to support, we declare that all donors have these rights:

To be informed of the organisation's mission, of the way the organisation intends to use donated resources, and of its capacity to use donations effectively for their intended purposes.
To be informed of the identity of those serving on the organisation's governing board, and to expect the board to exercise prudent judgement in its stewardship responsibilities.
To have access to the organisation's most recent financial statements.
To be assured their gifts will be used for the purposes for which they were given.
To receive appropriate acknowledgement and recognition.
To be assured that information about their donations is handled with respect and with confidentiality to the extent provided by law.
To expect that all relationships with individuals representing organisations of interest to the donor will be professional in nature.
To be informed whether those seeking donations are volunteers, employees of the organisation or hired solicitors.
To have the opportunity for their names to be deleted from mailing lists that an organisation may intend to share.
To feel free to ask questions when making a donation and to receive prompt, truthful and forthright answers.
