Period of Contract: 1 July 2023 – 30 June 2025

Salary: AUD$85,000 per annum plus 11% compulsory superannuation

Time fraction: Full time (1.0) or part-time negotiable

Location: Negotiable (work remotely in Australia) and must be legally able to work in Australia.

Wikimedia Australia, the Australian chapter of the international Wikimedia Foundation is looking for a Project and Communications Coordinator. As an independent, not-for-profit organisation and registered charity, we support our members, the broader community and partner organisations to contribute to Wikipedia, Wikidata and other Wikimedia platforms through events, training and partnerships. The Project and Communications Coordinator role supports projects and events with partners including ACMI, National Gallery of Australia, Universities, Galleries, Libraries, Archives and Museums, and coordinates Wikimedia Australia’s Communications Strategy informing our community and members.

Purpose of Role

  • Support the delivery of an ongoing program of events, workshops, meetings and training through proactive relationship building and partnerships
  • Provide project management and support, enabling Wikimedia Australia to grow in scope and capability
  • Oversee the delivery of the WMAU Communications Strategy to grow the promotion and communications of Wikimedia Australia
  • Work with the Wikimedia Australia Board, staff, members, volunteers, partner organisations and the broader Wikimedia community to deliver the Wikimedia Australia Strategic Plan 2022-2025
  • Develop and maintain relationships with partners and stakeholders and help develop a WMAU membership and engagement strategy

Duties and responsibilities

  • Manage and coordinate Wikimedia Australia’s Communications Strategy
  • Oversee the management of Wikimedia Australia’s social media channels
  • Maintain and develop timely, relevant and informative content for the Wikimedia Australia website
  • Produce regular newsletter for members, partners and/or a general mailing list
  • Coordinate media opportunities and manage media monitoring and reporting
  • Manage Wikimedia Australia’s brand and visual identity, including the design and production of printed materials and merchandise
  • Manage general enquiries
  • Provide communications support for WMAU and partner events and projects
Project management
  • Manage and coordinate all aspects of annual events, training and workshops program (including monthly community meetings)
  • Initiate and develop new projects and partnerships
  • Develop and maintain event and project documentation using shared internal working platforms
  • Bring volunteers into potential and existing projects, increasing the numbers and engagement levels of volunteers across Wikimedia projects
  • Follow up with partner organisations and participants after events and monitor and facilitate retention of participants
  • Undertake impact measurement, assessment and evaluation of projects, including collecting feedback from stakeholders and reporting
  • Identify and explore opportunities for new projects in alignment with the Wikimedia Australia Content Strategy
  • Work autonomously and within a team using shared internal working platforms to achieve project and broader Wikimedia Australia outcomes
  • Undertake other administrative and coordination tasks as required.

Selection criteria


  • A qualification in communications, information or project management or other relevant disciplines or experience.
  • Experience organising and facilitating events and training
  • Experience with project management and/or partnerships with diverse stakeholders
  • Experience using and contributing to Wikimedia platforms or projects (highly desirable)

  • A high degree of flexibility and initiative, with the ability to work independently at both a strategic and hands-on level as the organisation requires


Wikimedia Australia does not have a physical office and requires staff to work remotely and to bring their own technology (laptop, phone, internet connection, etc).  Staff and committee members are located around the country. This position will require remote working, flexible hours and occasional travel for meetings and events within Australia and internationally.
